Synching with Outlook is the obvious advantage for some people.
Categories are also a universal label across all your databases.
So folders could be used as a general filing tool within a specific database, but a category used for a particular client or project.
When I used to sync with Outlook, I used a three tier category approach in Outlook.
first category was a general one where an item was assigned as “Consultancy” or “College” or “Home” etc.
Second level was Clients name, and third level was project name.
These synched with the Zoot categories. And native Zoot items were categorised in the same way
This then made it easy to set up a Folder for a client that pulled in all the records related to a specific client, both from native Zoot items and synced Outlook items. Or indeed a specific project.
To do this without using the categories would be difficult. You would need to rely on the items containing the clients name somewhere that Zoot could then use to bring all items together.
You could of course set up pick lists in every databases for every record type that allowed you to select from a list of clients, and a list of projects, but this would be hard work when the categries capability already exists. And of course this wouldn’t sync with Outlook.
